Westford Table Tennis Club is a program of AC Arlington, a 501(c)(3) non-profit organization, which runs the club's memberships, open play, League Night and coaching. The website westfordtabletennis.com and the club's tournaments are operated by Qumtak LLC, a Massachusetts limited liability company. In this policy "we" means both. It explains what information the site collects, why, who handles it, and the choices you have. It is short because we collect very little. Using the site is also covered by our Terms of Service.
- We only get your name, email, phone or message when you choose to send them to us.
- We never sell your information or share it for anyone else's marketing.
- Card payments are handled by Square. We never see or store your card number.
- We use Google Analytics and Google Ads to count visits and see which ads work.
- Email WTTC@qmtk.org any time to see, correct or delete what we hold about you.
What we collect
Information you give us
- Contact and lesson form. Your name, email address, phone number (optional), the topic you pick and your message. It is sent by email to the club's inbox so we can reply.
- League Night signup. The Google Form for Saturday League Night asks for the details shown on the form, such as your name and contact details. We use them to run the night and to publish standings, which show players' names and results.
- Payments. When you pay for a membership, a drop in session or a donation, Square collects your payment details and any name, email or phone number its checkout asks for. Square tells the club who paid, what for and how much, and the club keeps those membership and payment records.
- Tournament entries. Entries go through Omnipong and USA Table Tennis. Qumtak receives the entry details needed to run the event.
- Email, phone and text. If you email, call or text us, we receive what you send.
Information collected automatically
- Analytics. Google Analytics records which pages are visited, roughly where visitors come from (city level), device and browser type, and clicks on buttons such as Pay, Book a lesson or a phone number. It uses cookies and similar identifiers. We look at it in aggregate to improve the site.
- Advertising measurement. The same Google tag tells Google Ads when a visit from one of our ads leads to a payment or a message, so we can tell which ads are worth paying for.
- Hosting. Our host, Vercel, keeps standard server logs (such as IP address, browser and the page requested) for security, and collects anonymous visit and speed statistics without cookies.
How we use it
- To answer your questions and arrange lessons, memberships and events.
- To process payments and keep basic records of them.
- To run League Night and tournaments and publish results.
- To understand how the site is used and to measure our advertising.
- To keep the site secure and to meet legal and tax obligations.
We do not send marketing emails or texts, and contacting us does not add you to any mailing list.
Who handles it for us
We use a few trusted services to run the site. Each processes information under its own privacy policy:
- Google (Gmail, Apps Script, Google Forms, Google Analytics, Google Ads): Google privacy policy
- Square (payments and checkout): Square privacy notice
- Vercel (website hosting): Vercel privacy policy
- Instagram (photos embedded on some results pages): Instagram privacy policy
Omnipong and USA Table Tennis have their own privacy policies. Links to other sites, such as hotel booking, Facebook or Instagram, are covered by those sites' policies, not this one.
We do not sell or rent personal information. We may disclose information if the law requires it.
Cookies and your choices
- You can block or delete cookies in your browser settings. The site still works without them.
- You can opt out of Google Analytics with Google's opt out browser add-on.
- You can control the ads Google shows you at My Ad Center.
Children
We coach many junior players, but this website is meant for adults and parents. We do not knowingly collect personal information online from children under 13. A parent or guardian should fill in forms and make payments for a junior. If you believe a child under 13 has sent us information through the site, email us and we will delete it.
How long we keep it
Messages stay in our email for as long as they help us answer you and arrange lessons or memberships. Payment records are kept as long as tax and accounting rules require. League and tournament results are kept as part of the club's history.
Security
The site is served only over HTTPS and payments run on Square's secure checkout. No website is perfectly secure, so please never send card numbers or other sensitive details through the contact form.
Your rights
You can ask us what personal information we hold about you, and ask us to correct or delete it. Email WTTC@qmtk.org and we will reply within 30 days. Some payment records must be kept for tax purposes; we will tell you if that applies.
Changes
If we change how we handle information, we will update this page and the date at the top.
